Position Summary

An exciting opportunity awaits a dynamic and result-driven individual to spearhead programs and strategic initiatives for the GA AIM project. Reporting to the Project Director, the ideal candidate will wear multiple hats in a fast-paced environment, managing key projects like Educational Workshops, Mobile Vehicle Engagement Events, Technology Demonstrations, Partner Meetings/Site Visits, and Community Engagement Sessions. The role aligns seamlessly with our client's vision, mission, and values, emphasizing excellent support and continuous quality improvement.

  1. Content Planning:
    • Collaborate with internal teams and external partners to understand event requirements.
    • Assist in the conceptualization and development of event themes and concepts.
    • Contribute to the creation of comprehensive event plans, including timelines and task assignments.
  2. Logistics Management:
    • Coordinate and supervise the set-up and breakdown of events, ensuring all elements are in place.
    • Manage vendor relationships and oversee their involvement in event logistics.
    • Ensure all equipment, materials, and resources are procured and available for each event.
  3. On-Site Coordination:
    • Execute on-site management, overseeing all event activities and addressing issues as they arise.
    • Coordinate with staff, volunteers, and vendors to ensure smooth event operations.
    • Troubleshoot and resolve logistical challenges in real-time.
  4. Communication:
    • Maintain clear and consistent communication with internal and external stakeholders.
    • Provide detailed event briefings to all involved parties to ensure a shared understanding of roles and responsibilities.
  5. Budget Oversight:
    • Assist in budget planning and tracking for each event.
    • Monitor expenses related to event logistics and provide regular updates to the Event Manager.
  6. Documentation:
    • Maintain accurate records of all event logistics, including set-up/breakdown checklists and vendor contracts.
    • Prepare post-event reports highlighting successes and areas for improvement.
  7. Safety and Compliance:
    • Ensure compliance with all safety regulations and venue requirements.
    • Implement and communicate health and safety protocols for events.

Requirements:

  • Proven experience in event coordination and logistics management.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a focus on delivering high-quality events.
  • Ability to work flexible hours, including evenings and weekends.
  • Proficient in using event management software and Microsoft Office Suite.
